Temporary Personal Assistant to General Director / CEO
Location: Leeds LS1
Duration: Temporary 2-3 weeks
Hours: 9.30-17.30 or 10.00-18.00
Pay Rate: £16.00ph
Start Date: ASAP
We are currently recruiting for an experienced Personal Assistant to provide professional, highly efficient and confidential administrative support to the CEO.
This is a varied and fast-paced temporary role suited to someone who is highly organised, discreet and confident working at a senior level. The successful candidate will be required to manage a busy diary, coordinate meetings and travel, monitor emails and provide general PA support, ensuring the Director's time is managed effectively.
Key Responsibilities:
* Provide professional, efficient and confidential PA support to the General Director/CEO.
* Manage a busy and ever-changing diary, arranging planned and unplanned meetings.
* Coordinate meeting rooms, facilities, technology and refreshments to ensure meetings run smoothly.
* Monitor and manage incoming emails, prioritising and responding where appropriate.
* Draft and prepare emails, correspondence and documents on behalf of the General Director.
* Arrange and coordinate national and international travel, including flights, accommodation, transfers and detailed itineraries.
* Assist with meeting preparation and ensure all relevant information and documentation is available.
* Take accurate minutes and actions from meetings where required (advantageous but not essential).
* Manage changing priorities and anticipate the needs of the General Director.
* Maintain a high level of confidentiality when dealing with sensitive information.
* Undertake general administrative duties and support the General Director with ad hoc requirements.
About You:
The ideal candidate will have:
* Demonstrable experience working in a PA, EA or senior administrative role.
* Excellent organisational skills with strong attention to detail and accuracy.
* The ability to manage multiple priorities and remain calm and flexible in a busy environment.
* A proactive approach, with the ability to anticipate what is required and think several steps ahead.
* Excellent written and verbal communication skills, with the confidence to draft correspondence in the Director's style and tone.
* Strong interpersonal skills and the ability to communicate professionally with people at all levels.
* Experience arranging national and international travel and accommodation.
* Strong IT skills, including Microsoft Word, Excel, Outlook, PowerPoint, Teams and SharePoint.
* Confidence using databases, internet applications and Adobe.
* A professional, discreet and approachable manner.
* Previous minute-taking experience would be an advantage but is not essential.
The Person:
This role would suit a confident and highly organised PA who enjoys working in a senior-level support position and is comfortable working in a fast-paced environment where priorities can change quickly. Discretion, professionalism and the ability to use initiative are essential.
