Practice Manager - Private Medical Practice
£45,000 - £50,000 per annum
The primary function of the role of Head of Operations is to ensure the smooth running of a busy, high profile, private Practice. The candidate, once chosen, will need to have a general knowledge of the practice function in order to ensure all staff members are performing well in their specific roles. The nature of the business means that attention to detail is imperative; every client needs to have our full attention and to feel that they are in the best place to receive the best possible care. Our reputation is based on this level of service being met and is of critical importance.
TO BE CONSIDERED FOR THIS ROLE YOU MUST HAVE COME FROM A SIMILAR BACKGROUND AND HAVE EXPERIENCE IN THE PRIVATE MEDICAL SECTOR.
Practice management
• Working systems; diary management; workload distribution/allocation/monitoring.
• Ensuring client service is improved from telephone answering to paperwork processing and that feedback to the clients is given at the agreed times and days.
• Practice Manager will also offer support to the Directors PA and will provide to cover for his last appointments of the day.
• Covering the duties of the owners of the business whilst they are on holiday.
Human Resources
• Have regular update/feedback session with the Director and cascade relevant information to staff.
• Hold weekly update meetings/cascades with staff to review processes, issues and possible problems as they arise and create feedback report to staff to advise on any matters raised.
• Staff interviews; appraisals; leave monitoring; checking all staff credentials are in place.
• Accountability for the proper performance by employees of their agreed roles.
• Providing regular feedback on employees’ performances.
• Ensuring deadlines are achieved and improving communication between employees and the owners of the business.
Legal
• Dealing with legal matters relating to staff, clients, business legislative requirements and compliance including health and safety, indemnities, insurances and associated matters.
• Dealing with complaints in an efficient and ensuring measures are put in place to avoid similar situations arising in future.
Business management
• Project planning; development; board meetings; clients
• responsibility for the completion and upkeep of the monthly project plan
Marketing
• responsibility for our website, distribution of brochures and leaflets
